Leagues

Leagues are the age groups/divisions within an organization. An Administrator can Add, Edit, or Remove Leagues. Each program must have one or more leagues in order for a registration to function properly.  Users set fees, eligibility, registration dates (early/regular/late), fee comments, etc. within the leagues pages.  Waitlist options are also set inside a league. 

All leagues within a particular program can be viewed in the Leagues section, along with number teams in a league and a total number of players to a league.

Create a New League
  1. General


    1. General Information


      1. Name your League(U5 Boys, U6 Girls, etc.)
      2. Enter League Start and End dates
      3. Select the Type of League and Competitive Level in the drop down lists.
      4. Enter a Description or notes about the League.

    2. Registration Information


      1. Select the Registration is Active checkbox.
      2. Indicate Individual or Team Registration
      3. Enter the Start and End dates for REGULAR registration. These dates typically match the Program start and end dates. Early and Late Registration is found in the Advanced tab described below.
      4. Enter the appropriate fees associated to which type of registration is active (player or team)
      5. Team Fee - Coach pays entire payment for his/her team
      6. Player Fee - Registration fee for players
      7. Coach Fee - Usually zero dollars, however; a coach fee can be entered here
      8. Returning/Member Team Fee - Discounted fee for returning teams if it is in the organizations rules and regulations
      9. Returning/Member Player Fee - Discounted fee for returning players if it is in the organizations rules and regulations. Some organizations use this option for a residents/non – residents fee.
      10. Returning/Member Coach Fee - Discounted fee for returning coaches if it is in the organizations rules and regulations. Some organizations use this option for a residents/non – residents fee
      11. Enter comments regarding fees, refunds, etc

    Note: If the Returning Member Fees are entered, the switch must be turned on for Player/Coach Member in order for the link to be visible online. Refer to Web Access section below.


  2. Eligibility


  3. Organizations can enter Grades or Birth Dates to ensure their registration eligibility rules are being met.

    1. Eligibility


      1. Check the Eligibility box in the upper left corner
      2. Enter a date to calculate Age on the registration receipt (optional)
      3. Select the type of Eligibility validation

    2. Special


      1. Play Up – Allows a participant to play up how many years entered in the field
      2. Play Down – Allows a participant to play down how many years entered in the field


      HINT: If play up or play down is an option offered in your organization; it is more effective to modify the grades or dates you initially entered. For example, if the birth date ranges from 8/1/1993 to 7/31/1995, extend the end date to play up and decrease the beginning date to play down. This will ensure the system will understand these parameters and will throw an error if necessary, or allow participants to continue registering online.


  4. Web Access


    1. Online Registration Forms

      1. View Players Online Registration Form – Allows Administrators to view the player form without going directly through the online process.  The program must be turned on to view this form from the back office.
      2. View Coaches Online Registration Form - Allows Administrators to view the coach form without going directly through the online process. The program must be turned on to view this form from the back office.

    2. Additional Online Registration Settings

      1. Allow Coach to Unassigned – Allows a coach registration to an unassigned team. It is preferred you set this setting under Programs/Website Access (refer to section 3.1.3-Website Access)
      2. Re-Register an existing team – Used with team registration. This option turns on a link for returning teams who wish to register his/her roster from the previous season

    3. Access

      Organizations can show or hide roster information during a registration period when a coach or player is logged in to his/her member profile. The Manage Team Roster Link is removed from a coach’s member profile and the View Roster link is removed from the player’s member profile

      Can Show Team Info
      1. Anytime – Rosters are shown in the Member profile during the registration period
      2. Not During Registration – Turns off the option to view rosters during the registration period


      Coach Info
      1. Name and Phone – Displays coaches name and phone number when a player is logged in
      2. Name Only - Displays coaches name only when a player is logged in
      3. Nothing – No details displayed about the coach


      Player Info
      1. Name and Jersey Numbers – Displays players name and Jersey Numbers
      2. Name Only – Displays players name only
      3. Jersey Number Only – Displays players jersey number only
      4. Nothing – No details displayed about the player

    4. Note: Can Show Team Info must be turned off or on in the Program and League sections in order to function properly.


  5. Documents - Insert your organization’s Terms of Service, Parental Releases, etc. Applies to specific leagues, not the whole program when information is entered in this document section. Use the League Document section if the Terms of Service differ from the entire program.



  6. Advanced - Additional registration options


    1. General Information

      1. Enter the League Age
      2. Enter the Gender of the league


      Note: The gender should match the Program gender. If your customers are receiving the error ‘Player Gender does not match;’ check your League gender to correct this problem.


    2. Extended Registration Information

      1. Early Registration
        1. Enter the Registration Start and End Date
        2. Team Fee – Coach pays entire payment for his/her team
        3. Player Fee – Registration fee for players
        4. Coach Fee – Usually zero dollars, however; a coach fee can be entered here
        5. Returning/Member Team Fee – Discounted fee for returning teams if it is in the organizations rules and regulations

        Note: In order for Early Registration to become active, the Program start date must be entered as ‘early’ as the Early Registration dates. According to the end date for Early Registration, the system will automatically close, and proceed with Regular Registration. Please be sure your dates and times coincide with each other for this to happen.


      2. Late Registration
        1. Enter the Registration Start and End Date
        2. Team Fee – Coach pays entire payment for his/her team
        3. Player Fee – Registration fee for players
        4. Coach Fee – Usually zero dollars, however; a coach fee can be entered here
        5. Returning/Member Team Fee – Discounted fee for returning teams if it is in the organizations rules and regulations
        6. Returning/Member Player Fee - Discounted fee for returning players if it is in the organizations rules and regulations. Some organizations use this option for a residents/non – residents fee
        7. Returning/Member Coach Fee - Discounted fee for returning coaches if it is in the organizations rules and regulations. Some organizations use this option for a residents/non – residents fee

        Note: In order for Late Registration to become active, the Program end date must be entered as ‘late’ as the Late Registration dates. According to the end date for Regular Registration, the system will automatically close, and proceed with Late Registration. Please be sure your dates and times coincide with each other for this to happen.


      3. Disabling Registration and/or Assigning a Waitlist
        1. Team Limit (League) – Used with Team Registration. The system will automatically disable the Team Registration link and be replaced with the text ‘Team Limit per League has been met.’
        2. Players Limit (per Team) – Used with Individual Direct to Team Registration.
          1. Entering a value in the text field without selecting the Waitlist box will not allow further registrations to a team. The system will automatically disable the team and a message will read ‘Player Limit in this team has been met.’
          2. Entering a value in the text field and selecting the Waitlist option will not allow further registrations to a particular team, however; participants’ can select the Waitlist option and continue registering. The system will automatically disable the team and a message will read ‘Player Limit in this team has been met. Please choose Waiting List.’
        3. Player Limit (League )– Used with Individual Registration.
          1. Entering a value in the text field and selecting the Take no Action option will not allow further registrations to a League. A message overriding the league name will read ‘Registration is full.’
          2. Entering a value in the text field and selecting the Place in Waitlist and (Accept Payment) option will allow further registrations to a League. A message next to the league name will read ‘Accepting Waitlist.’

        Note: ISIS will create a Waitlist team if the Waitlist options are selected. They will be shown online to registrants and under the Team drop down lists in the back office.

        Note: Currently, all participants registering to a Waitlist team must pay the player or team fee. If the teams do not ‘make,’ refunds will have to be issued.
